Managing Workspaces

Workspaces help you organize your marketing efforts by project, client, or team. Each workspace operates independently with its own campaigns, platform connections, and brand settings.

What is a Workspace?

A workspace is an isolated environment within the platform that contains:

  • Campaigns - Marketing campaigns specific to this workspace
  • Platform Connections - Social media accounts connected to this workspace
  • Brand Settings - Company profile and brand guidelines
  • Team Members - Users with access to this workspace
  • Credits - Shared credit balance for AI features

Why Use Workspaces?

Multiple Clients

If you manage marketing for different clients, create a workspace for each:

Switching Workspaces

Using the Workspace Selector

  1. Find the workspace name in the header bar
  2. Click to open the workspace dropdown
  3. Select the workspace you want to switch to
  4. The page refreshes with the new workspace context

What Changes When You Switch

When you switch workspaces:

  • Campaigns list shows only that workspace's campaigns
  • Platform connections reflect that workspace's connections
  • Brand guidelines update to that workspace's settings
  • Credit balance shows the workspace's available credits

Your personal profile and preferences remain the same across all workspaces.

Accessing Settings

  1. Navigate to Settings
  2. Select your workspace
  3. View and modify workspace settings

Team Collaboration

Workspace Members

Each workspace has its own set of members:

  • Members must be invited to access a workspace
  • Access can be granted or revoked per workspace
  • Users can belong to multiple workspaces

Workspace Independence

Data Isolation

Each workspace maintains complete data isolation:

  • Campaigns cannot be viewed across workspaces
  • Platform connections are workspace-specific
  • Brand guidelines are independent
  • Analytics are scoped to the workspace

Sharing Between Workspaces

To share content between workspaces:

  1. Export content from one workspace
  2. Import or recreate in another workspace
  3. Or use cross-workspace tools if available

Creating a New Workspace

Who Can Create Workspaces

Workspace creation is typically limited to:

  • Organization administrators
  • Super admins
  • Users with workspace creation permissions

Creation Process

  1. Go to SettingsWorkspaces (admin view)
  2. Click Create Workspace
  3. Enter workspace details:
    • Name
    • Slug (optional)
    • Description
  4. Configure initial settings
  5. Click Create

After Creation

Once created:

  1. Invite team members
  2. Connect social media platforms
  3. Set up brand guidelines
  4. Create your first campaign

Best Practices

Naming Conventions

Use clear, consistent naming:

  • Good: "Acme Corp - 2024", "Client: Smith Co", "Product: Widget Pro"
  • Avoid: "Workspace 1", "Test", "New"

Organization

  1. One client per workspace - Keep client data separate
  2. Consistent structure - Use similar setups across workspaces
  3. Clear ownership - Designate workspace admins
  4. Regular cleanup - Archive unused workspaces

Security

  1. Minimal access - Only grant necessary permissions
  2. Review regularly - Audit workspace membership
  3. Separate credentials - Use different platform connections per workspace when needed

Troubleshooting

Can't See a Workspace

  • Verify you have access to the workspace
  • Check with workspace admin for invitation
  • Ensure you're logged into the correct account

Can't Switch Workspaces

  • Refresh the page
  • Check your internet connection
  • Try logging out and back in

Workspace Data Missing

  • Verify you're in the correct workspace
  • Check the workspace selector in the header
  • Data may have been archived or deleted
