Approval Workflow

The approval workflow enables team collaboration by requiring campaigns to be reviewed before going live. This guide covers submitting, reviewing, and managing campaign approvals.

How Approval Works

Workflow Overview

  1. Creator submits campaign for approval
  2. Campaign enters "Pending Approval" status
  3. Reviewer receives notification
  4. Reviewer examines campaign details and content
  5. Reviewer approves or rejects with feedback
  6. Campaign proceeds or creator revises

When to Use Approval

Use approval workflows when:

  • Multiple team members collaborate on campaigns
  • Quality control is required before publishing
  • Brand compliance must be verified
  • Budget or scope review is needed
  • Training new team members

Submitting for Approval

During Campaign Creation

In Phase 4 (Review and Launch):

  1. Review all campaign settings
  2. Choose Submit for Approval instead of "Launch Immediately"
  3. Click the button to submit
  4. Campaign status changes to "Pending Approval"

From the Campaign List

For draft campaigns:

  1. Open the Actions menu (three dots)
  2. Click Submit for Approval
  3. Confirm the submission
  4. Status updates to "Pending Approval"

What Gets Submitted

The reviewer can see:

  • All campaign settings
  • Target audience configuration
  • Platform selections
  • Brand guidelines applied
  • Any generated content (if available)
  • Estimated credit usage

Reviewing Campaigns

Accessing Pending Approvals

Navigate to the approval queue:

  1. Go to Campaigns in the main menu
  2. Click Pending Approvals tab
  3. View all campaigns awaiting review

Approval List

The approval list shows:

Filtering and Sorting

Organize the approval queue:

  • Sort by date - Oldest or newest first
  • Filter by goal - Show specific campaign types
  • Filter by priority - Focus on urgent items
  • Search - Find specific campaigns

The Review Process

Opening a Campaign for Review

  1. Click on a campaign in the approval queue
  2. The campaign detail view opens
  3. Status updates to "In Review" (optional)

Reviewing Campaign Details

Examine each section:

Campaign Overview

  • Campaign name and description
  • Goal alignment with business objectives
  • Date range appropriateness

Target Audience

  • Demographics match intended market
  • Interests are relevant
  • Geographic targeting is correct

Content Strategy

  • Platform selection makes sense
  • Brand guidelines are appropriate
  • Tone matches brand voice

Generated Content (if available)

  • Content quality meets standards
  • No policy violations
  • Brand consistency maintained

Adding Review Notes

Document your review:

  1. Click Add Note
  2. Type your observations
  3. Notes are visible to the creator

Approving Campaigns

Quick Approval

If everything looks good:

  1. Click Approve button
  2. Optionally add a note
  3. Confirm the action
  4. Campaign status changes to "Active"

Approval with Notes

Provide feedback along with approval:

  1. Add notes about improvements for future campaigns
  2. Click Approve with Notes
  3. Creator sees feedback after approval

What Happens After Approval

  • Campaign status becomes "Active"
  • AI content generation begins (if not already done)
  • Posts are scheduled for publishing
  • Creator is notified of approval

Rejecting Campaigns

When to Reject

Reject campaigns that:

  • Don't align with brand guidelines
  • Target inappropriate audiences
  • Have significant errors
  • Need substantial revision
  • Violate platform policies

Rejection Process

  1. Click Reject button
  2. Required: Enter rejection reason
  3. Be specific about what needs to change
  4. Confirm the rejection
  5. Campaign returns to "Draft" status

Writing Good Rejection Feedback

Not helpful:

"This doesn't work. Try again."

Helpful:

"The target audience age range (18-24) doesn't match our product's demographics. Please update to 35-54. Also, the tone is too casual for LinkedIn - please adjust to be more professional."

After Rejection

  • Creator receives notification with feedback
  • Campaign returns to Draft status
  • Creator can edit and resubmit
  • Original submission data is preserved

Selecting Multiple Campaigns

For efficient processing:

  1. Use checkboxes to select campaigns
  2. Review count in selection bar
  3. Apply bulk action

Managing the Queue

Priority Handling

Handle high-priority items first:

  • Sort by priority
  • Filter for urgent campaigns
  • Set priority flags on campaigns

Assignment

In larger teams:

  • Assign campaigns to specific reviewers
  • Balance workload across team
  • Track who's reviewing what

SLA Tracking

Monitor review times:

  • Time since submission
  • Average approval time
  • Overdue reviews

Notifications

For Submitters

You receive notifications when:

  • Campaign is approved
  • Campaign is rejected (with feedback)
  • Reviewer adds notes

For Reviewers

You receive notifications when:

  • New campaign submitted for approval
  • Resubmission after rejection
  • Urgent campaign flagged

Best Practices

For Submitters

  1. Complete all sections - Missing information slows review
  2. Add context - Explain reasoning in descriptions
  3. Check before submitting - Self-review first
  4. Respond to feedback - Address rejection reasons completely

For Reviewers

  1. Be timely - Review within reasonable timeframes
  2. Be specific - Provide actionable feedback
  3. Be consistent - Apply same standards to all
  4. Be constructive - Help creators improve

Troubleshooting

Campaign Stuck in Pending

  • Check if a reviewer is assigned
  • Verify notifications are working
  • Contact administrator if persists

Can't Approve/Reject

  • Verify you have reviewer permissions
  • Check campaign isn't already processed
  • Ensure you're on correct workspace

Notifications Not Received

  • Check email spam folder
  • Verify notification settings in profile
  • Confirm email address is correct
