User Management

User management allows administrators to control who has access to the platform and what they can do. This guide covers viewing users, managing roles, and handling user accounts.

note

User management features are only available to Super Admins and Organization Administrators.

Accessing User Management

  1. Navigate to Settings in the main menu
  2. Click Users in the Administration section
  3. View the users list

Users List

The users list displays all users in your organization:

Filtering Users

Filter the list to find specific users:

  • Search - Find by name or email
  • Role Filter - Show only specific roles
  • Status Filter - Active, Suspended, or All
  • Workspace Filter - Users in specific workspace

Sorting

Click column headers to sort:

  • Name (A-Z, Z-A)
  • Email (A-Z, Z-A)
  • Role
  • Last Active (newest, oldest)

User Roles

Available Roles

Role Capabilities

Super Admin

  • Manage all users and workspaces
  • Access organization settings
  • View all campaigns across workspaces
  • Manage billing and subscriptions
  • Configure platform settings

Workspace Admin

  • Manage users within their workspaces
  • Full campaign management
  • Connect and manage platforms
  • Set workspace-level settings

Member

  • Create and edit campaigns
  • Publish content
  • View workspace data
  • Manage assigned tasks

Viewer

  • View campaigns and content
  • Access reports and analytics
  • Cannot create or edit

Viewing User Details

Click on any user to view their profile:

Workspace Assignments

View which workspaces the user can access:

  • Workspace name
  • Role within that workspace
  • Assignment date

See recent user activity:

  • Login events
  • Campaign actions
  • Content changes
  • Settings modifications

Managing Users

Changing User Role

  1. Click on the user
  2. Find the Role section
  3. Select new role from dropdown
  4. Click Save Changes
  5. User receives notification of role change

Changing a user's role takes effect immediately. Ensure you understand the permission changes before proceeding.

Assigning to Workspaces

  1. Open user details
  2. Click Manage Workspaces
  3. Check workspaces to assign
  4. Set role for each workspace
  5. Click Save

Removing from Workspaces

  1. Open user details
  2. Find the workspace assignment
  3. Click Remove next to the workspace
  4. Confirm the action

Suspending a User

Temporarily disable a user's access:

  1. Open user details
  2. Click Suspend User
  3. Enter suspension reason (optional)
  4. Click Confirm

Suspended users:

  • Cannot log in
  • Retain their data
  • Can be reactivated later

Reactivating a User

  1. Find the suspended user
  2. Click Reactivate
  3. Confirm the action
  4. User can now log in

Deleting a User

Permanently remove a user:

  1. Open user details
  2. Scroll to Danger Zone
  3. Click Delete User
  4. Type confirmation text
  5. Click Delete Permanently

User deletion is permanent and cannot be undone. Consider suspending instead if you may need to restore access later.

Inviting New Users

Sending Invitations

  1. Click Invite User button
  2. Enter user's email address
  3. Select initial role
  4. Choose workspace assignments
  5. Click Send Invitation

Invitation Status

Track pending invitations:

AcceptedUser created account
ExpiredInvitation timed out (resend available)

Resending Invitations

  1. Find the pending invitation
  2. Click Resend
  3. New email is sent
  4. Previous link is invalidated

Selecting Multiple Users

  1. Use checkboxes to select users
  2. Selection count appears in toolbar
  3. Apply bulk action

Security Best Practices

Access Control

  1. Principle of least privilege - Give minimum necessary access
  2. Regular audits - Review user access quarterly
  3. Prompt offboarding - Remove access when users leave
  4. Role separation - Don't give everyone admin access

Monitoring

  1. Review login activity regularly
  2. Watch for unusual patterns
  3. Investigate failed login attempts
  4. Monitor permission changes

Troubleshooting

User Can't Log In

  1. Check if account is suspended
  2. Verify email address is correct
  3. Reset password if needed
  4. Check workspace assignments

User Missing Permissions

  1. Verify user's role
  2. Check workspace-specific role
  3. Ensure workspace is active
  4. Review recent permission changes

Invitation Not Received

  1. Check spam/junk folder
  2. Verify email address
  3. Resend invitation
  4. Try alternate email
